1. Why do all the found software items show as unidentified, and how can their licenses be managed effectively?

      Currently, all software other than operating systems will be added as "unidentified" as we don't maintain an inventory of managed software as of now. Clients can still manually manage them separately. However, software categorization is something that is already in the analysis phase and will be added to discovery based on the feasibility.

2. Is it possible to associate a software license with a user?

      Licenses can be allocated to both users or workstations. To allocate a license to a user, Please use Concurrent License type or Named User License type.
    - Named User Licenses are single user licenses, while Concurrent licenses allow us to associate multiple users to a license.
    - Users can be associated either during or after license creation using "Used By" Field/table.
    - Customer can also create custom license types with "Track By" Value as "user" to have new license types with similar options to associate users to it by going to Setup-> Customization-> Asset Management-> Software License Types

3. How can I notify a user when prohibited software installation is detected?

      As of now, we cannot notify the user directly. However, we have a notification rule that will notify a technician whenever a new installation of a prohibited software is identified. This technician can then notify the user, either manually, or from SDP.

4. We see all scanned software under the software list. How can we effectively manage their licenses?

      Most software scanned through discovery won't need a license to use it. So the effective way is to identify all the software that will require a license to operate and move them to managed software type. This way, we will have a limited number of entries of software to manage. From there, we can start identifying the license types for each software and start creating licenses based on that.

5. What do "under licensed" and "over licensed" mean?

      "Under Licensed" essentially means some installations of a software do not have a license attached to it. It might just be a matter of licenses not being allocated and/or it could be from not having enough licenses to allocate to the installations.
      "Over Licensed" is when you have more licenses available even after all installations of a software have a license allocated to it. It means we have purchased more than we need and hence, are over licensed.

6. How can I manage software suites in SDP Cloud?

      Managing software suites is similar to managing single software entries. We can add the component software (child software) of the suite on creation and define the scan rule (manually identify a installation as a software suite / automatically identify). From there, license allocation and deallocation are all similar to any other software entry.

7. How can I delete software entries in bulk?

      From the UI, we can only delete 100 entries in bulk at once from the list view. However, deleting software entries can be pointless if they are using probe scan or EC agent scan. Since the deleted entries will be populated back into the application in the forthcoming scan.

8. We see multiple duplicates for software manufacturers. How can we normalise this?

      The manufacturer merge feature is already under development. We will be rolling it out soon.

9. Is there a way to manage software manufacturers separately?

      Yes, Manufacturer Merge branch feature will also introduce a separate list view for manufacturers. We can manage software manufacturers from there.

10. How can I raise a PO against software?
      We can create a purchase by selecting the required software as product and product type as software.

11. What are the best practices for managing license agreements?

      License agreements are usually used to store common agreements over a group of licenses like extension of support, sharing policy etc., So having all the matching license associated with the agreement as a single entry will be better.
