[ForYourInformation -54] Manage your resources effectively with Resource management

What is Resource management and why is it important?

Resource management is the process of using an organization's human resources in the most efficient way possible. It has become an integral part of any organization as it aids planning, scheduling, and future allocation of the right resources to the right tasks to attain maximum efficiency.

In this blog, we will discuss the importance of resource management in the context of delivering a project successfully.

In most cases, resources are a project's biggest expense, so every organization wants to make the best use of them. To attain maximum results, the project manager needs to ensure the resource plan is created during the planning phase of the project. This can greatly help to identify the right resources required for the project. This will also help in reducing budgeting and help to forecast the project expenses.

Resource management helps,

Listing the available resources:

Resources needed for your project and structure them by tasks. You can then decide on which resources should be working on each specific task. Explain to each resource what their role is.

It’s especially important if your resources have concurrent tasks or if they work on multiple projects simultaneously. This provides you with insight on resource availability and allows you to find the best match between tasks and your resources.

Estimate resource consumption:

Figure out how many resources will be used from the list of available resources during the project life cycle. Say, how many hours the resource will consume in a day to work on the task, the total number of tasks assigned and so on.

Build a resource schedule:

From the information collected in the first two steps, build a resource schedule. Organize and structure resources so the tasks they need to complete are scheduled based on availability and capability. Specify the resources, time frame of consumption throughout the project.

This helps in resource leveling to ensure no resource is overutilized and underutilized. Thus, tasks are distributed between resources fairly, which not only contributes to a healthy work environment but also makes the project schedule realistic and achievable.

Conclusion:

Resource management enables teams to foresee problems before they happen and project managers to maintain control over their projects. Once a project has been successfully completed, a resource management plan allows a project manager to replicate that success more easily. It is now evident that resource management is crucial for the success of any organization.
