ServiceDesk
Plus Contract Management helps you to organize and centralize contract tracking. The primary
objective of contract management is to maintain a complete record of contracts
of your organization with third-party vendors. You can track different types of contracts that are
for lease, software licenses, support, maintenance, warranty, etc.
Contract Management life cycle:
You can create a new contract at [Contracts tab -> New contract ]
provide the details of your contract, with contract ID, contract name, type,
vendor, maintenance cost, etc. The contract document can be attached, once
the details are provided, you can submit the contract.
Once the assets are selected for the particular contract, specify the
contract period with commencing and end date.
Enable notification for the expiry of your contract, which will notify
selected technicians ( expiry notification can be enabled only for technicians
with email addresses). Selected technicians will be alerted before the contract
expiry.
This feature allows you to configure multiple notifications alerts, by
just providing the multiple email addresses separated by comma (,). ServiceDesk Plus can alter the users within
and outside the organization.
Notifications can be configured to alter users well in advance before
the contract expiry, like 10 days before expiry, 1 month before the expiry,
etc.
Parent and child contract can be explained with an example, let's say you buy a DSLR
camera, which needs other accessories like battery, lens, tripod, etc. When you
buy the camera and accessories from the same brand/vendor, the primary contract will be signed for camera other accessories will be covered under child
contract. Both parent and child contracts can be easily managed and tracked from the parent contracts.
While creating a new contract, you can select the parent from the
"parent contract" field.
Child contracts can be
associated with parent contract, using "Associate child contract" button within the contract
Often we
see our customers creating a new contract once the existing one expires. Over a
period of time, we could see multiple contracts created for the same purpose, which leads to baffling.
