Microsoft 365 license management using ADManager Plus

This article will explain how you can assign and revoke Microsoft 365 licenses using ADManager Plus.

 

With ADManager Plus, you can:

  1. Assign Microsoft 365 licenses while creating users.

  2. Modify Microsoft 365 licenses for existing users.

  3. Remove Microsoft 365 licenses when a user is deprovisioned in AD.

  4. Automate license management for existing users.

  5. Revoke licenses using Orchestration.

  

1. Assign Microsoft 365 licenses while creating users.

You can assign the license for new users during their creation process using the User Creation Templates.

 

  1. Log in to ADManager Plus as an administrator.

  2. Navigate to Management tab > User Creation Templates.

  3. Click the Create New Template button to make a new template for Microsoft 365 license management or select an existing user creation template in which you would like to add the license management functionality.

  4. Click the Microsoft 365 tab.

  5. In the Assign Licenses section, select the Microsoft 365 license that has to applied to users who are created using this template and click Save Template.

 

 

When new users are created using this template, the selected Microsoft 365 license will automaticaly be assigned to the user.

 

2. Modify Microsoft 365 licenses for existing users.

You can assign or remove the existing licenses for a user by following the steps listed below.

 

  1. Log in to ADManager Plus as an administrator.

  2. Navigate to Microsoft 365 tab > Management > Azure Active Directory > License management. section in the Microsoft 365 tab.

  3. You can Assign or remove licenses for multiple users by using the Assign/Remove Licenses feature or you can modify licenses for all users in a particular group using the Group Based License Modification feature.

 

 

3. Remove Microsoft 365 licenses when a user is deprovisioned in AD.

 

When you disable a user through ADmanager Plus, you have the option to automatically remove the Microsoft 365 licenses assigned to the user.

 

To automatically remove the associated Microsoft 365 licenses when a user is deprovisioned,

 

  1. Log in to ADManager Plus as an administrator.

  2. Navigate to Admin tab > Custom Settings > Delete/Disable policy. 

  3. Click the Disable Policy tab.

  4. In the Cloud Accounts, select Revoke Microsoft 365 user license and click Save.

 

 

 

 

The Microsoft 365 license removal will be triggered immediately when a user is disabled through ADManager Plus.

 

4. Automate license management for existing users.

With ADManager Plus, you can automatically assign and remove Microsoft 365 licenses to users based on certain conditions.

To assign or remove licenses automatically,

  1. Navigate to Automation tab > Automation > Automation.

  2. Click the Create New Automation button located in the top-right corner of the screen.

  3. Provide a name and description for the automation.

  4. In the Automation Category field, select User Automation .

  5. In the Automation Task/Policy field, select Assign Microsoft 365 licenses or Remove Microsoft 365 licenses based on your need.

  6. Select the licenses that you wish to assign/remove.

  7. You can choose the users to whom the license has to be assigned or removed through either of the following ways.

    1. From reports: Choose the ADManager plus report from which you can get the list of users. You can choose the predefined reports available in ADManager Plus or use any of the custom reports that you have created. You can preview the selected report by making use of Generate Report option.

    2. CSV import: If you want to use a CSV to import data click Select more. In the Location of CSV field, specify the location of the CSV file.

  8. In the Run at field, choose the interval and time at which the task should be run from the available options: Hourly, daily, weekly, monthly or run it just once, at the desire time.

  9. If you wish to receive a notification whenever the automation is executed, toggle the Enable notification setting. If notification is enabled, templates configured in the automation notification will be used instead of last stage of workflow notification, either execution or approval notification.

  10. Click Save and save the automation, or Save & Run to immediately run the automation, and also run it at the later time defined.

 

 

5. Revoke licenses using Orchestration.


To assign or revoke licenses using Orchestration, you will first have to create an orchestration template. Follow the steps listed below to learn how to create an Orchestration template.
  1. Navigate to Automation tab > Orchestration > Orchestration Template.
  2. Click the Create New Template button at the top-right corner of the screen.

  3. Provide a name for the template in the Template Name field.

  4. Click Cloud Actions in the left pane.

  5. Drag and drop the Revoke Microsoft 365 user license block to the working area.

  6. Provide a name and description for the action in the pop-up that appears, and click OK.

  7. You can also add other options you wish to perform after revoking the user's license. To find out all the options that you can accomplish with ADManager Plus's Orchestration Templates, click here.

  8. Click Save.

 

Once the Orchestration template has been created, you will have to define the condition at which the template will be executed. You can choose any action which can trigger license revocation.

  1. Navigate to Automation tab → Orchestration → Orchestration Profile.

  2. Click the Create New Profile button on the top-right corner of the page.

  3. Enter a suitable Name and Description for the profile.

  4. In the Profile Criteria section, add the conditions under which the template needs to be executed.

  5. In the Orchestration template, add the template you created above.

  6. Click Save.

When the trigger action is performed, ADManager Plus will automatically revoke the Microsoft 365 license of the user.
