We frequently receive requests about sending notifications that include request attachments to recipients beyond the designated approvers, either during or after the approval process. This enables recipients to quickly review relevant documents without needing to log in to the application.

There are many scenarios where it is important to notify additional parties and share request attachments when a request is submitted for approval or when an approval decision is made. For example, if an employee submits a reimbursement request for a business trip, once the approver reviews and approves it, a notification along with attachments such as receipts and the manager’s approval letter needs to be sent to the Finance department to initiate the reimbursement process.

Similar requirements can be achieved through custom trigger approval notification action. Refer to the following screenshots that illustrate the same.

Navigate to Admin > Automation > Custom Triggers > Approval, add a trigger and configure with the conditions as required.

Configure a template with a customized content and request properties as variables.

Use the configured template for notification and select the required receipients. In this case, I created a Organizational Role "Finance Manager", assigned a user to it and choose the user for notification as per the use-case mentioned above.
